How Travel Agents Speed Up Visa Applications with AI Autofill

If you process visa applications for clients, your working day has a bottleneck that has nothing to do with travel: re-typing the same twenty fields into portal after portal. Name exactly as in the passport, passport number, date of birth, issue and expiry dates, nationality, address. The data never changes. Only the form does.

This guide shows a workflow for filling visa and booking forms from a passport photo or a block of client data, using FillWise, a Chrome extension we build. We'll be specific about what it does, what it doesn't, and what you should still check by hand before submitting anything to an embassy.

Why visa forms eat so much time

A few realities every agent knows:

• One form per traveler, no exceptions. A Schengen application for a family of five means five separate forms, including the children. The data differs by a few fields; the typing doesn't get any shorter.
• Long forms time out. The US DS-160 runs to dozens of fields across many sections and is notorious for expiring sessions. Lose focus mid-form and you may be re-entering data from your last save point.
• Names must match the passport exactly. A transliterated name typed from memory ("Aleksandr" vs "Alexandr") is one of the most common reasons applications bounce back for correction.
• Every portal is different. VFS Global, TLS Contact and BLS International each run their own application front-ends per country, airlines and hotels have their own booking forms, and none of them share your data with each other.

None of this is skilled work. It's transcription, which is exactly what's worth automating.

The workflow

Filling a visa application from a passport photo

1. Open the visa application form in Chrome: an embassy portal, VFS Global, TLS Contact, BLS International or the DS-160.
2. Open the FillWise side panel and attach a photo or scan of the passport bio page. You can add supporting text alongside it (travel dates, address, phone), and the AI combines both sources.
3. Click Fill web form. Names, passport number, dates and nationality are read from the document, including non-Latin passports, and entered into the matching fields.
4. Review every field against the passport, then submit.

The point isn't that the AI is smarter than you. It's that it never gets bored on field #19 of passport #6, which is where manual typos actually happen.

Families and groups: paste everyone at once

For multi-traveler bookings you don't need to process passengers one at a time. Paste the whole group's data into the panel, from your CRM, a spreadsheet, or an email thread, and FillWise recognises each traveler and maps their details to the right passenger sections of the form. For per-person visa forms, keep the panel open and fill each traveler's form in turn from the same pasted block.

CRM data to booking forms

The same workflow covers the non-visa half of the job. Copy a client record from your CRM (any format, FillWise doesn't need a template) and fill:

Some embassies and insurers still hand out fillable PDF forms. What you should still check by hand

Autofill removes the typing, not the responsibility. Before submitting any application, verify:

• Name spelling against the machine-readable zone (the two lines at the bottom of the bio page). That's the spelling border systems use.
• Passport validity rules for the destination. Many countries require validity 3 or 6 months beyond the return date; no autofill tool decides that for you.
• Visa type and number of entries. A correct form for the wrong visa category is still a rejection.
• Dates and their format. FillWise converts formats to match the form, but sanity-check arrival/departure dates against the actual booking.
• Minors' extras. Consent letters and birth certificates are separate documents that no form-filler produces.

A filled form is a draft until you've read it. The time you save on typing is exactly the time reviewing deserves.

What about client data privacy?

Passport data is sensitive, so here is plainly how it works: the data you paste or photograph is sent encrypted to our servers, processed by the AI to produce the field values, and is not stored after processing. Nothing is sold or used to train models. The specifics are in our privacy policy.

FAQ

Does it work with VFS Global / TLS Contact / BLS International portals? Yes. FillWise works on any web form rendered in the browser, which covers the application front-ends these providers run for their client countries. If a portal changes its form layout, nothing breaks: the AI reads the fields as they are on the page, not from a stored template.

Can it read non-Latin passports? Yes. The document recognition reads passports and IDs in over 100 languages, including Chinese, Arabic and Cyrillic documents, and fills forms in whatever language the form itself uses.

Does it store my clients' passports? No. Documents are processed to extract the field values and are not retained afterwards. See the privacy policy for details.

What if a field is filled wrong? Edit it. The values are typed into the normal form fields, nothing is locked. And per the section above: always review before submitting. For embassy forms, you are the last line of quality control, with or without automation.
