How Event Organizers Fill Registration Forms Faster with AI

Registering people for events is repetitive by nature. A team signing up for a conference, a group booking a workshop, a roster going onto a badge system: the same names, emails and roles get typed into registration forms one participant at a time. The list already exists, usually in a spreadsheet or an email. The work is getting it into the form.

This guide shows a workflow for filling registration forms from a participant list, using FillWise, a Chrome extension we build. We'll be specific about what it does, what it doesn't, and where you still need to look.

Why registration is so repetitive

The friction isn't organizing the event. It's the data entry that surrounds it:

Group sign-ups are one-by-one forms. Registering a team of ten often means ten passes through the same form, or one long form with a section per attendee.
The list lives somewhere else. Participant details sit in a spreadsheet or an email thread, not in the registration system's fields.
The same roster feeds many systems. Registration, badge printing, catering counts and hotel blocks can each want the same names re-entered.
Deadlines bunch it up. Registrations tend to land right before the cutoff, so the typing all happens at once.

The workflow

A form with several attendees

Some registration forms have one section per participant on a single page. For those, paste the whole roster into the side panel at once, from your spreadsheet or an email, and FillWise recognises each person and maps their details into the right participant sections.

One form per attendee

When each participant needs their own registration, keep the panel open with the roster pasted and work down the list: fill and submit the first attendee's form, then the next. The panel doesn't reset between fills, so you paste the roster once and reuse it.

There's no template to configure and no field mapping to set up. The form reads however it was built; the AI matches to it as it is on the page.

What it doesn't do

So expectations are right:

It's not a registration platform integration. No connector or API to set up. It fills whatever form is open in your browser, which is why it works across systems without configuration.
It doesn't submit forms in bulk on its own. It fills the form on screen; you review and submit each one. For per-attendee forms, that's a fast loop, not a single click for the whole list.
It reads the roster you give it. Paste the list as text or attach a screenshot of it; a spreadsheet file itself isn't uploaded (see the FAQ).

What to check by hand

Autofill removes the typing, not the responsibility.

Read names and emails against the roster; a wrong email means a badge or ticket goes to the wrong place.
On multi-attendee forms, confirm each person landed in their own section and nothing shifted by a row.
Check dropdowns like ticket type, session choice or meal preference, which depend on each person's selection.

Participant data and privacy

Participant details are personal data. When you paste text or attach an image as the source, it is sent encrypted to our servers, read by the AI to produce the field values, and is not stored after processing. Nothing is sold or used to train models. The specifics are in our privacy policy.

FAQ

Can it register a whole group at once? It depends on the form. If the registration form has a section per attendee on one page, paste the whole roster and FillWise fills each section. If each attendee needs a separate form, you fill them one at a time from the same pasted roster, which is still much faster than re-typing.

Can I upload my attendee spreadsheet (.xlsx)? Not as a file. Copy the rows and paste them as text, or attach a screenshot of the list; the AI reads either. More on working from spreadsheet data is in the spreadsheet automation guide.

What kinds of registration systems does it work with? Any that render as a web form in Chrome. It reads the form on the page rather than relying on an integration, so a layout change on the platform's side doesn't break it. For fillable PDF registration forms, see the PDF automation guide.
