How Sales Teams Move CRM Data into Web Forms Faster with AI
Speed matters in sales. The lead who gets a call first tends to win the deal, and every minute spent re-typing a contact's details into yet another form is a minute the lead is going cold. Where the time actually goes
The slow part of a sales workflow is rarely the selling. It's the handoffs between tools that don't talk to each other:
- Lead data lives in the CRM, forms live everywhere else. Qualification forms, demo schedulers, proposal systems and partner portals each want the same contact and company details entered again.
- Outreach platforms want structured input. Moving a prospect from your CRM into a sequencing or outreach tool means re-entering name, company, role and email per prospect.
- Speed to lead is real. A form that takes five minutes to fill by hand is five minutes a competitor can use to call first.
- Manual entry drifts. Typed-again data picks up typos, and a wrong email or phone number quietly breaks the follow-up.
None of this is selling. It's transcription between systems, which is what's worth automating.
The workflow
FillWise is a Chrome extension with a side panel. You give it the lead's data, open the form you need, and click Fill web form. The AI reads your source, matches it to the fields on the page, and types the values in. You review and submit.

From CRM record to a form
- Open the form you need to fill in a Chrome tab: a lead qualification form, a demo scheduler, a proposal or registration system.
- Copy the lead's details out of your CRM and paste them into the FillWise side panel. Any format works; you don't reshape the text into fields yourself.
- Click Fill web form. Name, company, role, email, phone and the rest are matched to the form's fields and entered.
- Review against the source and submit, so the lead moves forward while it's still warm.
There's no template to configure and no field mapping to set up. The form reads however it was built; the AI matches to it as it is on the page.
Working a list
When several prospects need the same kind of form, keep the side panel open and go one at a time: paste the first lead, fill and submit, swap the text for the next lead, fill again. The panel doesn't reset between fills, so the loop is paste, fill, submit.
What it doesn't do
So expectations are right:
- It's not a CRM integration. There's no connector or API to set up. It types into whatever form is open in your browser, which is also why it works with a portal you haven't configured anything for.
- It doesn't pull leads out of your CRM by itself. You copy the record; FillWise fills from the data you hand it.
- It doesn't qualify or score leads. It moves data; the judgment stays yours.
What to check by hand
Autofill removes the typing, not the responsibility.
- Read email and phone against the source before anything triggers outreach; a wrong contact detail breaks the follow-up silently.
- Watch dropdowns (lead source, region, deal stage): the AI picks an option, but the right one depends on your process.
- Confirm anything that feeds routing or forecasting before you submit.
Lead data and privacy
Lead and contact details are personal data. When you paste text as the source, it is sent encrypted to our servers, read by the AI to produce the field values, and is not stored after processing. Nothing is sold or used to train models. The specifics are in our privacy policy.

FAQ
Does it connect to my CRM (Salesforce, HubSpot, and so on)? Not as an integration. You copy the record from your CRM and paste it into the panel; FillWise fills the form on screen from that text. Because it reads the form on the page rather than relying on a connector, it works across CRMs and portals without per-system setup.
Can it fill forms for a whole list of leads at once? Each form is filled from the data in the panel at that moment. For a list, work through it one lead at a time: paste, fill, submit, then the next. It's still far faster than re-typing each field.
