How Insurance Agents Fill Policy Applications Faster with AI

Insurance runs on forms. A new auto policy, a home quote, a commercial application, each wants the same client details, often pulled from documents the client hands you in person: a driver's license, a vehicle registration, a prior policy, a business card. Much of an agent's day is copying those details into an application by hand, frequently in the field, on a laptop, with the client waiting.

This guide shows a workflow for filling policy applications from photos of client documents, using FillWise, a Chrome extension we build. We'll be specific about what it does, what it doesn't, and where you still need to check.

Why policy applications eat time

The friction isn't the coverage decision. It's the data entry around it:

• Client details come on paper. The information you need is on a license, a registration or a prior declarations page, not in fields you can copy in one motion.
• The same data feeds many forms. Auto, home, and umbrella applications for one client repeat the same name, address and contact details.
• ACORD and carrier forms are long. Standardized applications run to many fields, and they are often distributed as fillable PDFs.
• Field work is not desk work. Filling a full application on a laptop during a client meeting is slow and error-prone when you are typing from a document in your other hand.

None of this is underwriting. It's transcription, which is what's worth handing off.

The workflow

FillWise is a Chrome extension with a side panel. You give it the client's data, as a photo of a document or as text, open the form you need, and click Fill web form. The AI reads your source, matches it to the fields, and enters the values. You review and submit.

From a client document to an application

1. Open the policy application in a Chrome tab.
2. Open the FillWise side panel and attach a photo or scan of the client's document: a driver's license, vehicle registration, or a prior policy page. You can add text alongside it (coverage details, effective dates) and the AI uses both.
3. Click Fill web form. Name, address, license or policy numbers and dates are read from the document and entered into the matching fields.
4. Review against the document and submit.

There's no template to configure. The application reads however the carrier built it; the AI matches to it as it is on the page.

ACORD and other PDF applications

Many insurance applications, ACORD forms among them, are fillable PDFs rather than web pages. FillWise fills those too: open the PDF in a Chrome tab, give the panel your client data, and it fills the text fields, checkboxes and dropdowns, then hands you the completed PDF to download. What it doesn't do

So expectations are right:

• It's not a carrier or AMS integration. No connector to configure. It fills whatever application is open in your browser, which is why it works across carriers without setup.
• It doesn't rate, bind or make coverage decisions. It moves data from a document into a form; the professional judgment is yours.
• It doesn't fill flat scans. A scanned document works as a data source, but a flat (non-fillable) PDF form can't be filled directly. See the PDF guide for the distinction.

What to check by hand

Autofill removes the typing, not the responsibility.

• Read license, VIN and policy numbers character by character against the document; a single wrong digit matters here.
• Confirm effective dates, coverage selections and limits, which depend on the quote, not the document.
• Verify anything that affects eligibility or compliance before you submit.

Client data and privacy

Client documents are sensitive personal data. When you attach a photo or paste text as the source, it is sent encrypted to our servers, read by the AI to produce the field values, and is not stored after processing. Nothing is sold or used to train models. The specifics are in our privacy policy. Handle client consent the way your usual process requires.

FAQ

Can it read a driver's license or registration from a photo? Yes. Attach a photo or scan of the document and the AI reads the client details from it. Accepted files are JPEG, PNG, WebP and PDF, up to 5 MB.

Does it work with ACORD forms? If the ACORD form is a fillable PDF, yes: open it in Chrome and FillWise fills the fields, then gives you the completed PDF. If it's a flat scan with no interactive fields, it can't be filled directly. See the PDF automation guide.

Does it connect to my carrier portals or agency management system? Not as an integration. It fills the application open in your browser, which is why it works across carriers without any per-system setup.

Does it store client documents? No. The source you provide is processed to extract the values and is not retained afterwards. See the privacy policy.
